Terms of service

What ScoutSheet is

ScoutSheet is a tryout evaluation tool for volunteer youth baseball and softball leagues. These terms apply to everyone who signs in: league Admins, check-in volunteers and evaluators. A league that puts players' information into ScoutSheet also signs a data processing agreement with ScoutSheet's operator.

Accounts

  • You must be an adult acting for a league. Children may not have accounts.
  • Your access comes from your league. An Admin can change or remove your role at any time, and an evaluator's access to a tryout ends when the Admin removes them from it.
  • Keep your sign-in to yourself, and do not share a tryout's access code outside the evaluators your league invited.

Using players' information

  • Use what you see in ScoutSheet only for your league's tryouts and draft. Do not copy, photograph, post or share players' names, photos, scores or notes elsewhere.
  • Write notes you would be comfortable showing the player's parent. League Admins can read every note, and a coaching partner can read yours.
  • Take check-in photos only of players whose parents have given the league permission, and only for identifying players at tryouts.
  • Report a lost phone, a shared sign-in, or anything that looks like someone seeing data they should not, to your league Admin straight away.

Leagues

  • The league is responsible for having the right to put its players' information into ScoutSheet, including parents' permission for photos, and for answering parents' requests to see, correct or erase their child's information.
  • The league chooses who holds each role and should remove access when a volunteer leaves.
  • Eval Group signup emails go to the parent addresses the league imported, only when a league Admin sends them. The league is responsible for using them only for its tryouts, for a reply-to address it monitors, and for sending a family a new link if theirs is shared or lost.

The service

  • ScoutSheet is offered as is. Scoring works offline, but we do not promise the service will always be available or free of errors; keep a paper fallback on tryout day.
  • Rankings are a tool for the league's volunteers. Draft and team decisions remain the league's.
  • We may suspend an account that misuses ScoutSheet or puts players' information at risk.
  • We may change these terms. We will tell league Admins about material changes before they take effect.

Privacy
