ScoutSheet docs
These guides cover running a tryout in ScoutSheet, one role at a time. League Admins set up the league and its tryouts, Check-in volunteers run the desk on tryout day, evaluators score players on their phones, and families use a private link to pick their child's Eval Group. Each guide says which role can do each step.
A person can hold a different role in each league. Admin includes everything Check-in can do. An Evaluator sees only the tryouts they joined with that tryout's access key.
Admins
- Getting started as a league Admin
Request a league, invite your volunteers, set the league's time zone, age cutoff and retention, and manage seasons.
- Setting up a tryout
Create a tryout, then set up its sessions, divisions, Eval Groups and player numbering.
- Importing players from a registration CSV
Bring players into a tryout from your registration system's CSV export: map columns, review matches and commit.
- Eval Group signups and emails
Let families pick an Eval Group from a private link, and send the invite and reminder emails.
- Reports, release and the draft export
Read division rankings and evaluator reports, release results to evaluators, and download the draft export.
- Paper sheets and paper-score entry
Print an Eval Group's score sheet as a fallback, then type the paper scores back in.
- Closing tryouts and seasons, and retention
Close a tryout, close a season, and how long ScoutSheet keeps photos and scores afterwards.
Check-in
- The check-in desk
Check players in on tryout day: find a player, verify age, take a photo and give them a number.
Evaluators
- Scoring on a phone
Join a tryout with its access key, score players on your phone, and keep scoring when the signal drops.
Families
- Your Eval Group signup link
For parents: how to use the private link your league emailed to pick your child's tryout group.
