Connecting an AI assistant

A league Admin can connect the AI assistant they already use (Claude or ChatGPT) to ScoutSheet and ask it about their league: its tryouts, the setup checklist, tryout-day progress, division and overall rankings, an evaluator's rankings (without notes) and the audit log. The connection is read-only: the assistant can't change anything in ScoutSheet.

Nothing works for a league until one of its Admins turns on AI assistant connections in the league's Settings (see "The league switch" below).

Connect your assistant

Every assistant uses the same address: https://scoutsheet.org/api/mcp. Use it exactly as written, without www.

Claude.ai and Claude Desktop

  1. Open Settings, then Connectors, and choose Add custom connector.
  2. Paste https://scoutsheet.org/api/mcp.
  3. Sign in with your ScoutSheet account and approve.

What you need: a Claude plan that allows adding custom connectors. Check your plan's settings.

Claude Code

Run claude mcp add --transport http scoutsheet https://scoutsheet.org/api/mcp, then run /mcp inside Claude Code to sign in with your ScoutSheet account and approve.

ChatGPT

Add a connector (a custom MCP connector) with the address https://scoutsheet.org/api/mcp, then sign in with your ScoutSheet account and approve.

Signing in

You sign in with your ScoutSheet account and approve the connection on a consent screen. The assistant gets access to the ScoutSheet connector only, acting as you. ScoutSheet never receives your assistant's password, and the assistant does not get your email address from ScoutSheet.

What it can see

Only what your role shows you on the web. This release has tools for league Admins only:

  • your leagues and your role in each;
  • a league's tryouts;
  • a tryout's setup: sessions, divisions, Eval Groups with their player counts, and the setup checklist;
  • tryout-day progress;
  • a division's ranking, with the evaluator bias flags;
  • the overall ranking;
  • one evaluator's own rankings, without their notes;
  • the league's audit log.

Players appear by tag and name, as they do on the web, with league age where the web page shows it.

What it never sees

  • parent contacts;
  • birth dates;
  • photos;
  • tryout access keys;
  • volunteers' email addresses;
  • players' custom fields from an import;
  • evaluators' notes.

Tools for evaluators and Check-in volunteers are not available yet.

The league switch

Nothing works for a league until one of its Admins, acting for the league, turns on AI assistant connections in the league's Settings. The change is recorded in the league's audit log. Turning it off cuts every connection to that league on its next request.

While the switch is off, an assistant can see only that the league exists (by its id) and your role in it.

Reports you read are logged

Each division, overall or evaluator report read through an assistant is recorded in the league's audit log as Read a report through an assistant, the same way a CSV download is.

Example questions

  • Tryout-day progress: "Who hasn't checked in for the 11:00 Eval Group?" or "Which evaluators haven't synced in the last 20 minutes?"
  • A division ranking: "Summarize the AAA ranking and where the evaluators disagreed."
  • The audit log: "Who downloaded reports this week?"

Your assistant's vendor

What your assistant sends to its model vendor (Anthropic for Claude, OpenAI for ChatGPT) is governed by your and your league's agreement with that vendor, not by ScoutSheet's. ScoutSheet itself sends nothing to a model vendor. ScoutSheet answers with structured data: names and labels arrive as values in fields, never as instructions.

Limits

If the assistant reports that it was rate limited, wait a minute and ask again.

Disconnecting

Remove the ScoutSheet connector in your assistant's settings. A league Admin can also turn the league switch off at any time.

Other assistants

Other assistants that support MCP servers with OAuth sign-in may work, but they aren't tested.
